Account Setup

This guide covers everything you need to know about setting up and managing your Archy account, team, and subscription.

Creating Your Team

Initial Team Setup

When you first sign up for Archy, you'll create a team:

  1. Team Name: Choose a name (usually your company or department name)
  2. Team Description: Brief description of your organization
  3. Initial Role: Select your role in the organization

Your team is your private workspace - all your architecture data, meetings, and documents are contained within your team.

User Roles and Permissions

Archy has three user roles with different capabilities:

Team User (Default)

  • Join meetings with Archy
  • View and edit team architecture data
  • Create documents and diagrams
  • Participate in collaborative sessions

Team Admin

  • All Team User capabilities, plus:
  • Invite and remove team members
  • Manage user roles and permissions
  • Configure team settings and integrations
  • Access usage and billing information

System Admin (Archy Staff Only)

  • Platform administration capabilities
  • Cross-team support and troubleshooting

Inviting Team Members

Adding New Members

As a Team Admin, you can invite colleagues:

  1. Go to Settings > Team Members
  2. Click "Invite Member"
  3. Enter their email address
  4. Select their role (Team User or Team Admin)
  5. Add a personal message (optional)
  6. Click "Send Invitation"

The invitee will receive an email with instructions to join your team.

Managing Existing Members

From the Team Members page, you can:

  • Change roles for existing members
  • Remove members who no longer need access
  • View activity to see who's actively using Archy

  • Up to 5 team members
  • 60 meeting minutes total

Pro Plan ($49/month per team)

  • Unlimited meeting minutes
  • Unlimited team members
  • Priority support
  • Advanced integrations

Enterprise Plan (Custom pricing)

  • Custom features and integrations
  • Dedicated support
  • Enhanced security options
  • Volume discounts

Managing Your Subscription

  1. Navigate to Settings > Billing
  2. View your current plan and usage
  3. Upgrade/downgrade plans as needed
  4. Add payment method (credit card required for paid plans)
  5. Download invoices for expense tracking

Usage Tracking

Monitor your team's Archy usage:

  • Meeting minutes consumed this month
  • Active team members
  • Storage used for recordings and documents
  • API calls (for enterprise integrations)

Team Settings and Configuration

General Settings

Team Profile

  • Update team name and description
  • Set time zone for meeting scheduling
  • Configure notification preferences

Meeting Defaults

  • Default meeting duration
  • Recording settings (auto-record, transcription)
  • Meeting invitation templates

Security Settings

Access Control

  • Require team domain email addresses
  • Enable/disable guest access for meetings
  • Configure data retention policies

Integration Security

  • API key management
  • Webhook security settings
  • Third-party app permissions

Data and Privacy

Data Ownership

  • Your team owns all data created in Archy
  • Architecture documentation, meeting recordings, and insights belong to you
  • Archy provides tools to export your data at any time

Privacy Controls

  • Meeting Privacy: Configure who can access meeting recordings
  • Document Sharing: Control visibility of documents and diagrams
  • Integration Data: Manage what data is synced from external platforms

Data Export

Export your architecture data:

  1. Go to Settings > Data Export
  2. Select data types to export (systems, meetings, documents, etc.)
  3. Choose format (JSON, CSV, PDF)
  4. Click "Generate Export"
  5. Download when ready (you'll receive an email notification)

Account Migration

Moving Between Teams

If you need to switch teams or merge organizations:

  1. Contact your current Team Admin to remove you from the team
  2. Get an invitation to the new team
  3. Your personal settings migrate, but team-specific data stays with the original team

Enterprise Account Setup

For large organizations requiring:

  • Single sign-on (SSO)
  • Advanced security features
  • Custom integrations
  • Bulk user management

Troubleshooting Account Issues

Common Account Problems

Can't Sign In

  • Verify you're using the correct Google account
  • Check if your organization has specific domain restrictions
  • Clear browser cache and try again

Missing Team Access

  • Confirm you've accepted the team invitation
  • Check your email (including spam folder) for invitation
  • Contact your Team Admin to resend invitation

Billing Issues

  • Verify payment method is valid and up-to-date
  • Check if your bank is blocking the transaction
  • Contact support for billing disputes

  • In-App Support: Click the help icon (?) in the bottom right

  • Archy Consultation: Ask Archy directly during your meetings!
